Brussels based client intended to build a Meeting Management System that will facilitate the organization of physical meetings and make them more efficient. The system is designed for the use of governments, organizations and large corporations. The main challenge of building the system was to rule out any delays in real time user actions by utilizing solely intranet network hosted on a local machine instead of a powerful web server.
Flux Technologies offered a robust solution developed on top of PHP Laravel framework with an intensive usage of JavaScript frameworks for the user facing interfaces to ensure fast and responsive user experience. Before getting started Flux Team had done a thorough needs assessment to ensure the functional design of the system covers and automates all the activities that take place during the physical meetings. As an outcome for the needs assessment the team decided to build the following system modules: - Meeting Management Module (Secretary Module) responsible for channel, conference room, meeting setup and interactive meeting management. - Attendee Module tailored to work on portable devices including smartphones, tablets and laptops for attendees to participate in the meeting, request a speech or reply, participate in voting, check the agenda and provided documentation online. - Lector Module designed to support the speaker by providing tools needed to conduct the speech of the project. - Projector View designed for projecting the meeting information including the agenda, speaker and speech information, voting results and etc.
Our solution has given a fresh breath boosted the productivity of large meetings where all participants are now able to effectively prepare and follow the meeting, raise a request for speech and reply, participate in the voting and suggest changes in the agenda by just using own mobile device. Moreover, this solution solved the issue of archiving the meeting data including the meeting themes, speakers and replies lists, duration, members, substitutes, attendance information and other relevant documentation. Additionally, meeting managers are now able to save time and resources by automating the activities required to handle the meetings.
